This privacy notice tells you what happens to your personal data when you get a quote or take out an insurance policy with us or use any other services or other products we offer.

When we say ‘you’ and ‘your’ in this notice, we mean anyone whose personal information we may collect including:

  • Anyone seeking a quotation from us or whose details are provided during the quotation process.
  • Policyholders and anyone named or covered under the policy.
  • Anyone who may benefit from or be directly involved in the policy or a claim including claimants and witnesses.

Who we are

The Green Insurer is a trading name of The Green Option Limited (company number 14446809) which is registered as a company in England and Wales. We act as a data controller. Our registered address is 2 Adelaide Street, St Albans, Hertfordshire, AL3 5BH.

Providing Consent

When providing personal information about others, you confirm that you have the consent of these individuals to supply their personal information. We are unable to offer you any product or service unless you provide explicit consent for the collection and use of sensitive personal data as defined in data protection laws.

You have the right to withdraw consent at any time (see Your Data Protection rights). This may limit or terminate the contract of insurance or other services that you arranged through us. Due to legal obligations with road traffic act laws and regulatory requirements, we may not be able to remove your personal information.

What types of personal information do we collect?

We may collect and process the following personal data so that we can perform the activities explained in the ‘How we get the information and why we have it’ section below:

  • Contact details for you and named drivers including your name, address, telephone numbers and email address.
  • Individual details for you and drivers including date of birth, gender, marital status, employment information, family and lifestyle details, and medical information if it is relevant to your policy or claim.
  • Information which we obtain from you or government and regulatory bodies to assess the risk including driving licence details, criminal convictions, information from the electoral roll, bankruptcy and insolvency details and county court judgements.
  • Vehicle information including V5 certificate; overnight parking and mileage.
  • Telematics data including acceleration, braking, cornering, speeding, mobile phone use, crash data and location.
  • External database information including Claims and Underwriting Exchange (CUE) data.
  • Financial data including direct debit or payment card details, payment history, income, expenditure, public credit data, private credit data and affordability to assess your financial status.
  • Records of any contact with us including live chat conversations and surveys.
  • Claims information including previous and current claims (not necessarily related to this policy) and in some cases surveillance reports.
  • Usage data including use of our app, use of our website, communication data, data caches, browser storage, browsing behaviour, location, IP address and cookie information.
  • Device data including information about your mobile device and your mobile operating system.
  • Telephone call data including call recordings for incoming and outgoing calls and Calling Line Identification.
  • Photographs and /or video to help us manage policies and assess claims.
  • Accessibility details if we need to make reasonable adjustments to help.

How we get the information and why do we have it?

We may collect personal information from various sources including you, your representative, your employer or from publicly available sources including information you have made public on social media. We also collect information from other people and organisations.

We collect and process data from:

  • You by supplying it using our website, telephone, email, live chat or app
  • Price comparison websites
  • Claims management companies
  • Your telematics app
  • Devices you use to access our services
  • Analytics providers (such as Google)
  • Payment providers
  • Credit reference or fraud prevention agencies such as Claims & Underwriting Exchange (CUE)
  • Motor Insurance Database
  • Driver & Vehicle Licencing Authority (DVLA)

We only use your personal data when it is necessary and the law allows, and this is for the following reasons:

  • You have given us consent to process your data
  • We require the data to perform a contract between you and us
  • We or a third party have a legitimate interest which does not adversely affect your interests, rights or freedom.
  • To comply with a legal or statutory obligation

What we do with the information?

We undertake checks before we provide services or products or financing to you to verify your identity, financial status and for the purposes of preventing fraud and money laundering.

We share your data with some of our partners to enable us to offer you all the advantages of our products and services. This includes our insurers, software providers, telematics provider, rewards partners, carbon removal partners and claims handling partner. We also use your data to administer your insurance policies and for the performance of the contract.

We may pass your details and information you provide us to recognised central industry databases. Data may also be released to third parties if we are required to do so by a court order or for regulatory purposes.

We will also share your data with any prospective buyer or purchaser if The Green Insurer wishes to sell all or part of its business.

We do have some automated decision making within the service we offer. This helps us determine what products you are eligible for, your driving score, how much carbon we offset for you, the amount of reward leaves you earn, what communications we send to you and whether you can pay your premium in monthly instalments. We may also use profiling to assess insurance risks and administer your policy as well as use your personal information to makes decisions about how to improve and develop our products, services, or pricing and to understand how our customers make decisions about which products and services to buy.

We are unable to provide you with a quotation without using this functionality but if you disagree with the outcome of an automated decision, please contact us and we will review it.

How we store the information?

Your information is stored securely on servers with our IT partners. Payment transactions are performed by our payment processing partner and comply with PCI DSS security standards.

Some of the organisations we share your personal information with may be in the European Union (EU) where your personal information is protected by laws similar to those in the UK. If we must transfer data to organisations in a country outside the EU, our contracts with these parties require them to provide a similar level of protection for your personal information to ensure your data continues to be protected and that appropriate safeguards are in place.

How long will your information be kept?

We will only hold your information for as long as necessary to administer the policy or services we offer, manage our business or to comply with legal or regulatory requirements. This will be in line with our data retention policy.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. We will consider your request and either comply with it or explain why we are unable to.
